Department: WELLNESS - SUBLEADER
Location: Hastings, MI

Full-Time, Monday-Friday 9am-5pm + occasional on-call

Coverage: Grand Rapids / Kalamazoo / Lansing field coverage as needed


Position Summary:
The Scheduling Coordinator oversees staff scheduling, payroll support, and client care coordination to ensure high-quality services. This role manages onboarding and training, maintains compliance with state requirements, and supports employee development while fostering a positive team culture.


Required Experience for Staffing and Scheduling Coordinator:
•Minimum of 2 years of leadership experience in a healthcare environment
•Experience with leading staff/client scheduling
•Proficiency with technology such as AlayaCare, Microsoft Office, and Vonage (preferred)
•Strong attention to detail
•Reliable transportation


Accountabilities for Scheduling Coordinator:
•Demonstrate and model company culture and values – safety, common beliefs, and a culture of feedback
•Create, maintain, and manage staff schedules utilizing scheduling software
•Evaluate staff and make hiring or termination recommendations; manage and motivate staff to provide quality service
•Participate in interviews and onboard/train new employees; maintain all appropriate records of training for new and existing staff
•Ensure all new hires enroll in Relias, receive their learning plans, and complete all State regulatory training by mandatory deadlines
•Accurately approve and process bi-weekly payroll for all staff within the assigned region
•Work with community leaders and communicate efficiently and effectively to ensure staffing needs are met
•Travel as needed to complete client evaluations and/or care conferences
•Complete monthly check-ins with all staff
•Identify and recommend levels of care and ancillary services as needed
•Develop and maintain client care plans
•Assist with coverage for personal care in private homes
•Participate in on-call rotation
•Contribute to meetings by reviewing data reports with the Client Care Coordinator and analyzing results to inform operational strategies and improve business outcomes for the assigned region
•Perform additional duties as assigned.

General Working Conditions:
This position entails standing for long periods of time. While performing the duties of this job, the employee is required to communicate effectively with others, sit, stand, walk, and use hands to handle keyboard, telephone, paper, files, and other equipment and objects. The employee is occasionally required to reach with hands and arms. This position requires the ability to review detailed documents and read computer screens. The employee will occasionally lift and/or move up to 25 pounds. The work environment requires appropriate interaction with others. The noise level in the work environment is moderate. Travel to different locations required.
